Hours
09.00 hrs to 1700 hrs: Monday to Friday although due to nature of this role, you may be required to work outside of core hours on occasion.
The Role
To be responsible for the maintenance and administration of the fleet of Technical Operations and Company vehicles in a professional and efficient manner from acquisition through to disposal
Main duties
- Maintain and update the Company’s Fleet Management Database ensuring that records are accurate and up to date from acquisition through to disposal
- Deal with all “fleet” enquiries including from the Vehicle and Operator Services Agency (VOSA), the Police, Technicians and Company Car drivers
- Purchase Vehicle Excise Duty licences (VED) as necessary throughout the year and forward to Technicians
- Maintain general fleet filing, both electronic and hard copies, up to date including V5 forms, MOT certificates, penalty notices, etc
- Tax and MOT all vehicles as required
- Produce service and MOT reminders for Technician and Company vehicle drivers
- Collate and supply all Inland Revenue information for Technicians and Company vehicle drivers
- Action all administration in relation to driver accidents for road traffic accidents and incidents
- Liaise with Insurers and Solicitors for recovery of all uninsured losses
- Organise necessary repairs for vehicles and instructing local repairs in line with the various brand requirements
- Authorise repairs and servicing of all vehicles and raise Purchase Orders
- Record service invoices on Fleet system
- Organise hire car cover as and when required
- Process payroll deductions for Technicians and Company car drivers applicable under the ‘Fair Wear & Tear’ Guide
- Arrange vehicle change-overs ensuring Vehicle Condition Reports are completed for vehicles returned/exchanged
- Carry out vehicle appraisals for Company car fleet, ensuring vehicles are returned within Fair Wear and Tear standards
- Maintain and update driver licence records including the processing of driving licence mandates for DVLA inspection & liaising with the Fleet Solution provider and drivers in regard to driver licence errors, penalty points, disqualifications and expiries
- Monitor suppliers to ensure best quality service at best price
- Process “Permission to take vehicles abroad” letters for drivers
- Provide “Proof of Insurance” letters for drivers of Company vehicles seeking their own insurance on non-Company vehicles
- Control and monitor all vehicles currently in storage
- Order/cancel Fuel cards as required
- Maintain and comply with MID insurance database requirements
- Provide occasional administrative support to the Executive Assistant to Managing Director and Senior Fleet Controller, to include:
- Co-ordinate meetings (including booking rooms, greeting guests, organising catering/lunches, booking restaurants, issuing Visitor Notification forms, booking car parking spaces, sending out maps)
- Updating external contacts list on Outlook
- Ordering stationary
- Raising Purchase Orders on behalf of Managing Director’s office
- Ad hoc administrative and project duties, as and when required
Essential Skills and Attributes
- Previous experience of Fleet administration
- Strong general administration and organisational skills
- Excellent oral and written communication skills
- A good working knowledge of Word, Excel, PowerPoint and Access
- Excellent analytical, numerical and systems skills
- Educated to ‘A’ Level standard or equivalent
- Professional appearance in line with working within a corporate environment
- Excellent interpersonal skills
- Confidentiality and integrity
- Flexible and adaptable to changing situations
- Self motivated
- Meticulous / Thorough
- Will require a full clean driving licence
- Flexible in terms of UK travel (ad hoc)
Desirable Skills and Attributes
- Certificate of Fleet Management
- Knowledge of “Fleetplus” or similar fleet management system
